General Summary

The Assistant to the Director of Transportation provides essential administrative and operational support to ensure the smooth functioning of McDonogh School’s Transportation Department, which oversees the School’s fleet of buses and vehicles. The ideal candidate will bring strong clerical and organizational skills, as well as the ability to manage multiple tasks efficiently, in support of the Director of Transportation, the Shop Foreman, the Mechanics, and the Bus Drivers.

This is a full-time, on-campus position with working hours from 7:00 am to 3:00 pm.

 

Essential Functions

  • Maintain an organized, efficient office environment, supporting the daily needs of the Director of Transportation and the other members of the department
  • Handle incoming calls, answer inquiries, and relay messages as needed
  • Maintain and organize transportation-related documents and records, ensuring all files are current and accessible
  • Manage field trip schedules and driver assignments, coordinating with academic and athletic departments for accurate and timely transportation arrangements
  • Coordinate and schedule third-party transportation vendors as needed, ensuring all safety and compliance standards are met
  • Process departmental paperwork, including trip requests, invoices, timesheets, and other transportation-related documents
  • Maintain calendars and assist in the logistical planning of transportation-related events or activities
  • Communicate regularly with other school departments to ensure seamless transportation service for students, faculty, and staff
  • Assist with tracking the School’s vehicle fleet, managing documentation for maintenance, repairs, and inspection schedules
  • With the Human Resources department, support the onboarding of new drivers and ensure they receive all required training and documentation

Recommended Employment Qualifications

High school diploma or equivalent; administrative or clerical training preferred.

Additional Experience

  • Minimum of 2 years of experience in an administrative support role
  • Proficiency using Google Workspace (Gmail, Google Docs, Google Sheets) and familiarity with scheduling software or databases is strongly preferred

Working Conditions

Bending. Evening and weekend hours may be required from time to time. Lifting and carrying of equipment is not typical, but may be required on rare occasions. Lifting up to 25 pounds. Reaching, grasping. Repetitive tasks. Significant computer use, including extensive close use of a computer monitor. Sitting. Standing. Stooping/kneeling/crouching/crawling. Talking, hearing, tasting or smelling. The potential presence of fumes (airborne), toxic, or caustic chemicals. Working with moderate to loud noise levels.
