General Summary

The Upper School at McDonogh School seeks a welcoming, friendly, and tech-savvy Administrative Assistant/Receptionist to join our team in Fall 2025. As the face of our Upper School, this position serves as the first point of contact for students, parents, faculty, and visitors, creating a positive and professional impression of our community. This position reports to the Head of Upper School.

This is a part-time position (30 hours per week). Compensation will be offered in the range of $30,000- $40,000. Individual offers will be specific, and based on education, experience, and benchmarking parameters.

 

Essential Functions

  • Create a warm, welcoming environment as the first point of contact in the Upper School Main Office
  • Efficiently manage daily student and faculty attendance using our digital tracking systems, including boarding attendance and MVA verification
  • Handle all incoming communications (phone, email) with professional courtesy and timely follow-up
  • Collaborate with Grade-level Deans regarding student attendance patterns and concerns
  • Process student records requests and coordinate submission of letters of recommendation
  • Maintain comprehensive student permanent records, including extracurricular activities and recognitions
  • Oversee administrative office operations including mail distribution and supply management

Recommended Employment Qualifications

High School Diploma required, Bachelors degree preferred.

Additional Experience

  • 3+ years of administrative experience, preferably in an educational setting
  • Demonstrated comfort with modern office technology and digital systems
  • Proficiency with Google Workspace (Docs, Sheets, Gmail) and ability to quickly learn new technology platforms

Working Conditions

Evening and weekend hours may be required from time to time. Lifting and carrying of equipment is not typical, but may be required on rare occasions. Lifting up to 25 pounds. Other working conditions include climbing stairs, walking around campus, sitting, standing, bending, balancing, squatting, reaching, and grasping. Significant computer use, including extensive close use of a computer monitor.
